World Class Consultants, an immigration consultancy, was managing its client pipeline across a combination of spreadsheets, WhatsApp groups, and email threads. Lead enquiries came in from multiple channels, were logged inconsistently, and were passed between sales, assessment, and processing teams without a single system of record. Documents were shared informally. Approvals happened in chat. Nobody had a reliable view of where any case stood.

The business had grown to a point where the informal system was creating real operational risk: leads being missed, handover information being lost, and management having no visibility into pipeline or team performance. They needed a CRM purpose-built for the way an immigration consultancy actually works — not a generic sales tool adapted with workarounds.

Devsort designed and built Nova CRM — a purpose-built client relationship and workflow management platform for World Class Consultants. The system was structured around the specific lifecycle of an immigration case: initial enquiry, qualification, document collection, assessment, submission, and outcome tracking.

AI-powered lead pre-qualification was a core feature from the brief. Incoming enquiries are scored against configurable qualification criteria, giving the sales team a ranked view of leads by estimated conversion probability and case complexity. This replaced a manual triage process that was inconsistently applied across team members.

Multi-role approval workflows were built into every stage transition. A case moving from assessment to submission requires sign-off from the assigned consultant and a compliance reviewer. The workflow engine enforces this without requiring manual coordination — each role sees only the actions available to them at the current stage, and the audit log captures every decision.

Role-based access control gave management, consultants, and processing staff different views of the same data. Management sees pipeline metrics and team performance. Consultants see their assigned cases. Processing staff see the document and submission queues relevant to their function.
